Neat Desk Desktop Scanner + Digital Filing System [Giveaway]
Have you felt the slight bit of insanity coming through my writing lately? With two kids, a blog, and a move on the agenda, these days I’m looking for any way that I can to simplify bits and pieces of the chaos.
I’m looking for ways to eliminate every bit of clutter in my life, because it also means I’m not packing that clutter.
When you run your own business, it means there is even more paper to think about; receipts for write-offs, business expenses to keep track of, and, as a recipe writer – recipes!
That’s where the Neat Desk comes in. Neat Desk is not just a scanner – it promises to take everything you have piled on your desk: bills, business cards, and receipts, and turn them into digital records that are easily searchable, categorized, and organized in one spot on your computer.
Just imagine a paper-free desk. Thinking about that gives me a little thrill! Right now I’m all about cutting the clutter!
The NeatDesk comes with custom software that searches for keywords as it scans each document. It knows, for example, that a business card should be labeled as a contact, and that all the details on that business card will need to be put into a contact form. Those forms can then be exported out to your favorite mail program.
I’m also loving that I can scan in recipes I’ve written by hand, or printed, and keep them filed away for when I need inspiration. The Neat Desk software even recognizes ingredient names for a quick search.
Tax time has always been a nightmare for us, searching through baskets, bags, and purses of receipts, trying to get everything right. Thinking we’re done only to find a handful more of receipts in a drawer or cabinet somewhere.
The Neat Desk will put a stop to all that. As each receipt is scanned, it takes note of the merchant name, and the individual charges. All of this information is then exported into a tax program for me or stored as PDF or JPG files until we needs them.
I can then make notes that allow me to easily pull up everything household related, kid related, or even blog related when it comes time to file our taxes.

You don’t even want to take a peak into our ‘filing’ system. It takes WAY too long to scan in the documents via our cheap printer, so this system is perfect!!!

I need this so bad! My home office doubles as my sewing room, but right now it is so swamped with papers that need to be organized, I don’t even want to be in there. With a baby and a toddler, I just can’t find the time to get it all under control and I know it won’t stay that way for long even when I do. My husband is a paper hoarder – and it drives me crazy – I would love to live in a home without stacks of paper.
Though I am a magazine saver… so I cannot complain too much – perhaps I will scan my favorite articles from magazines and reduce that clutter as well!

Between the receipts from my work expenses that collect in my wallet, and the file box full of old expenses that is in my car, paper is taking over my life. It would be amazing if I could scan my receipts, data sheets, forms, business cards, etc. and have them all in one place, not taking up any room other than encoded in my hard drive (and backed up out there in a cloud somewhere!).

Just keeping tract of the papers we get would be a big help, but mostly, I’d use it to record the estate information. I have stuff from both my grandmother and mother’s estates to store; having an electronic copy would make looking for information so much easier.

What would I *not* organize?! This would be great for copying notes and little pieces of paper where I toss writing ideas but don’t really have a way to organize them other than stuffing a bunch in an envelope.
I’d organize all the little odd-sized news clippings I use, either recipes or articles for scrapbooking.

As a band that is often traveling the country on tour, we’d be able to easily save our receipts, many insurance forms, and set lists for our fans. I NEEEEEED one of these, I have been looking at them for months but it never fits into an already tight budget. With 4 kids under 6, my school, work, a disabled mother for whom I handle all paperwork, plus stepdad’s paperwork including everything for his parents who passed this year and the uncle he takes care of (but I handle all the papers) I feel like I am buried in paper with about 7 filing cabinets and a constant flow of new paperwork this product would give me the time and space to actually be with my family instead of just in the same house with them.

My husband is a farmer, and when he goes to town for “parts” he comes home with a pocketful of receipts. Most of the time the receipts are crinkled, dirty, and covered in either motor oil, diesel fuel, manure, or all three (along with hay & straw, and pocket lint). YUCK! It would allow me to free up valuable real estate on my desk, in my bedroom, and bedroom closet. I keep everything ‘just in case’ and it’s driving me batty trying to find a place for everything. I’m DESPERATE for this! I have my own business and so does my husband…just seeing the mail man come gives me a slight facial tick. I had no idea this company and products even existed. It is such a fabulous concept. I have put away paper into old copy paper boxes to be gone through and filed at a later date. My filing cabinets that I do have are falling apart on me. And my office papers are stacked in piles inside of my filing cabinets at work. I despise paper. We are a military family with two kids (currently, and hopefully more on their way in the near future). With moves, and having to store lots of paperwork for government things this would make our life so much easier! I also have a blog that I have not been able to keep up as much as I would like and this would help me to keep my ideas at my fingertips. Plus, we are planning on homeschooling starting next fall (with my then 2 year old) and this would make homeschooling so much more pleasant. This machine would be so good for my life. At my house, my family has big, unorganized folders that hold all of our important papers. They need to be organized. Our receipts are so, so badly kept as well; I just shove them in my purse, which makes it very difficult to find them for bills. The thing I would like this for most though, is my recipes. I LOVE to cook and bake, and I have two big boxes with files of my recipes. I keep meaning to organize it, but I never have the time, and when I need a recipe, I could search for it for over an hour before finally giving up because it has been placed in the wrong spot. With this machine, I could just type the name into a search bar and have it pop up instantly. This would simplify my life so much!

It’s been a long time since I’ve entered any giveaways, but this one is worth the effort for me! Everything in my life right now is all about trying to tame some portion of our chaos. With 3 kids with special needs, a blog that is overwhelming me with stacks, boxes, piles and tote bags filled with recipes my house is overrun. Add to the amounts of recipes, all the notes about the kids, schoolwork, and medical records and papers, evaluations, etc. running around and I am literally drowning is a sea of disorganized piles every where. None of it is really stuff I can just get rid of at this point since I at least made it that far in my dejunking, so now I’ve had the Neat System on my wish list for a while. It could very well be the thing that saves my life. Sounds overly dramatic I know, but seriously, I’m not even exaggerating. So, that’s why I’m making the effort to enter a contest for once. I signed up for a receipt scanning program online that started at $9/month – then they started jacking the price up (without notice) until it hit $29/month, and then I discovered their online storage system didn’t allow for categorization or importing into my finance program – ack! I’d use it to scan all the loose recipes I have stacked up. I have tons, all just piled and stapled and paperclipped together. I’d put them all on my computer so I could free up so much space on my desk!!!

Oddly enough, my husband and I were just talking about the Neat Desk not too long ago. After watching him shuffle through a year’s worth of receipts and bills for his business we started looking at the different options out there. I’m so glad that there are people who designed better ways to organize everything in your life! Oh wow, this would help me eliminate about 3/4 of the paper in my house. Between papers for my work, receipts for the two businesses, and all the kids papers from school, it becomes overwhelming. I really do want one of these–I do the bills for the entire family (everybody else works and/or is completely uninterested in making certain everything gets paid on time), so I end up with various receipt and forms that belong to different families. This is amazing! I have wanted something like the Neat Desk for a long time. The copier at school sends pdfs to e-mail and I can save them and so on but it wil only do 1 page at a time. A 10 page document is 10 e-mails and that’s just nuts. The Neat Desk would be absolutely fantastic for lesson plans and meeting notes. As a special education teacher and math teacher I have way too much paperwork that just doesn’t need to be paper; it could be a nice, neat computer file, completely clutter free. Of course then my students won’t be able to tell me, “Hey Ms. Matteucci, it looks like your desk exploded.” It’s hard to keep reminding them about neat binders with papers in the proper places when it looks like a whirlwind hit my desk. High school students are quick to catch on to double standards.
